Keeping only what is reasonably required
Data Retention & Deletion
We retain project material only for operational, support, accounting, fraud-prevention, backup, and legal needs, and we offer deletion of source files from active production systems on request.
This guidance applies to DearStory's bespoke cinematic memoirs, personalized storybooks, relationship archives, family legacy books, and other commissioned projects created from client-supplied personal material.
During production
Project files are retained while your commission is being planned, created, reviewed, printed, delivered, or supported. This allows us to manage corrections, approvals, production failures, replacement copies, and delivery issues.
After delivery
Some working files may be retained for a reasonable period to support corrections, reprints, technical recovery, or customer service. Retention periods may differ depending on the type and complexity of the project.
Deletion requests
- You may request deletion of submitted source files from our active production systems after project completion and delivery.
- We may ask you to verify your identity and the relevant project before acting on the request.
- Deletion may limit our ability to make future corrections, replacements, reprints, or additional editions.
What may still be retained
We may retain limited records needed for invoices, payment reconciliation, tax, accounting, dispute handling, fraud prevention, legal compliance, or proof of project instructions and approvals. Backup systems may also take time to cycle deleted data out completely.
Request deletion
